Welcome to VectorBooking ("we," "our," or "us"). These Terms of Service ("Terms") govern your access to and use of the VectorBooking multi-tenant hotel booking management platform ("Service"). By accessing or using our Service, you agree to be bound by these Terms.
VectorBooking is a comprehensive hospitality management platform designed for hotels, resorts, and hospitality businesses. Our multi-tenant architecture allows each property to maintain complete data isolation while sharing the same powerful platform.
By creating an account, accessing, or using VectorBooking, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you may not access or use the Service.
These Terms apply to all users of the Service, including hotel administrators, employees, and guests. If you are entering into these Terms on behalf of a hotel or business entity, you represent that you have the authority to bind that entity to these Terms.

We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time, with or without notice. We will make reasonable efforts to notify you of significant changes.
4.1 Tenant Creation: The creation of new tenants (hotel accounts) is strictly reserved for authorized VectorBooking administrators. To create a tenant, you must provide: (a) the full legal name of your hotel, and (b) a desired subdomain that adheres to domain naming standards (letters, numbers, and hyphens only, no special characters, tildes, or spaces).
4.2 Subdomain Uniqueness: Each subdomain must be unique. If your desired subdomain is already in use, you will be required to select an alternative.
4.3 Account Security: You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify us immediately of any unauthorized use of your account.
4.4 Multiple Properties: If you operate multiple properties, each property requires a separate tenant account to ensure optimal data isolation and resource management.
5.1 Subscription Model: VectorBooking operates on a subscription-based pricing model (monthly or annual). We do NOT charge commission fees on bookings. All revenue from reservations belongs entirely to your hotel.
5.2 Pricing: Subscription pricing is fixed and predictable. There are no usage-based limits on rooms, bookings, or other metrics. Additional modules (add-ons) may be available for an extra cost.
5.3 Payment Processing: Once payment gateway integration is implemented, each hotel (tenant) is responsible for directly assuming fees and commissions from their chosen bank or payment processor. VectorBooking does not process payments or charge transaction fees.
5.4 Infrastructure Costs: Vector Costa Rica assumes all hosting and infrastructure costs (servers, network). There are no variable costs for storage or bandwidth for your hotel, except in extreme growth scenarios where server scaling may incur additional costs.
5.5 Billing and Renewal: Subscriptions automatically renew unless cancelled. You are responsible for ensuring payment information is current. Failure to pay may result in service suspension or termination.
6.1 Multi-Tenant Architecture: Each hotel operates with its own separate database instance. Data isolation is enforced at the database level with unique, encrypted credentials for each tenant.
6.2 Data Privacy: We implement industry-standard security measures to protect your data. Each request is processed individually, and database connections (including credentials) are cleaned and terminated after each request to prevent cross-tenant data leakage.
6.3 Data Access: Administrators from one hotel cannot access private or sensitive data from another hotel. Database isolation completely prevents access to internal data. Only public-facing information (such as room search results) is accessible to external users.
6.4 Data Storage: Your data is physically stored in a DigitalOcean droplet configured in SFO (San Francisco). Each hotel's database is completely separate and encrypted.
6.5 Your Responsibility: You are responsible for maintaining backups of your data and for ensuring compliance with applicable data protection laws (including GDPR where applicable).

8.1 Our Property: The Service, including all software, designs, text, graphics, and other content, is owned by Vector Costa Rica and protected by copyright, trademark, and other intellectual property laws.
8.2 Your Content: You retain all ownership rights to your data, including guest information, room descriptions, images, and other content you upload to the Service. By using the Service, you grant us a license to use, store, and process your content solely for the purpose of providing the Service.
8.3 Branding: While you can customize your public-facing website with your logo, colors, and branding, tenants operate under subdomains of vectorbooking.com. Custom domain names are not currently supported.
9.1 Uptime: We strive to maintain high availability but do not guarantee uninterrupted or error-free service. The Service may be unavailable due to maintenance, updates, or circumstances beyond our control.
9.2 Maintenance: We will make reasonable efforts to notify you of scheduled maintenance. Emergency maintenance may occur without prior notice.
9.3 Updates: We reserve the right to update, modify, or discontinue features of the Service. Hotels will be notified proactively before major updates.
9.4 No SLA Guarantee: While we aim for high availability, we do not currently provide a formal Service Level Agreement (SLA) with guaranteed uptime percentages.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, VECTORBOOKING AND ITS AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS OR REVENUES, WHETHER INCURRED DIRECTLY OR INDIRECTLY, OR ANY LOSS OF DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES.
Our total liability for any claims arising from or related to the Service shall not exceed the amount you paid us in the twelve (12) months preceding the claim.
The Service is provided "AS IS" and "AS AVAILABLE" without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
11.1 By You: You may cancel your subscription at any time. Cancellation will take effect at the end of your current billing period.
11.2 By Us: We may suspend or terminate your account immediately if you violate these Terms, engage in fraudulent activity, or fail to pay subscription fees.
11.3 Data Retention: Upon termination, you may request export of your data. We will retain your data for a reasonable period (typically 30-90 days) after termination, after which it may be permanently deleted. We use soft deletes for most data, meaning records are marked as inactive rather than permanently removed.
11.4 Effect of Termination: Upon termination, your right to access and use the Service will immediately cease. All provisions of these Terms that by their nature should survive termination shall survive.
We reserve the right to modify these Terms at any time. We will notify you of material changes via email or through the Service. Your continued use of the Service after such modifications constitutes acceptance of the updated Terms.
If you do not agree to the modified Terms, you must stop using the Service and may cancel your subscription.
These Terms shall be governed by and construed in accordance with the laws of Costa Rica, without regard to its conflict of law provisions.
Any disputes arising from or related to these Terms or the Service shall be resolved through good faith negotiation. If negotiation fails, disputes shall be submitted to the exclusive jurisdiction of the courts of Costa Rica.
